How To: Add a Task

The Tasks tab allows you to create and manage tasks directly against a customer record. This is useful for recording follow-up actions, customer service activities, sales opportunities and any other customer-specific work that needs to be tracked.
Once created, tasks can be assigned to yourself or another user, prioritised, categorised and marked as complete when finished.
Add a New Task
- Open a Customer screen (show me how).
- Load the required customer record.
- Open the [ Detail | CRM | Tasks ] tab.
- Press Alt+E or click Edit to enter edit mode.
- Click New in the top-left corner of the grid to create a new task.
- Complete the task details as required.
User
The User field defaults to the currently logged-in user.
To assign the task to another user:
- Press F4
- Select the required user from the list
URN
The URN field is read-only and automatically displays the customer's unique reference number.
Basic Description
Enter a clear description of the task.
Examples might include:
- Call customer regarding quotation
- Arrange product demonstration
- Follow up overdue payment
- Send updated pricing
Ord
The Ord field allows you to control the display order of tasks.
For example:
- 1 = highest priority in the list
- 99 = lower priority in the list
Priority
Press F4 in the Priority field and select the required priority level.

Type
Press F4 in the Type field and select the appropriate task type.
Task types are configured in:
Act Hrs
The Act Hrs field is read-only.
This value is automatically populated from time recorded against the task in the CRM Manager.
Created
The Created field automatically defaults to the current date.
Complete
The Complete field will display the date the task is marked as complete.
HL (Highlight)
Tick HL to highlight the task.
Highlighted tasks are displayed with a yellow background, making them easier to identify.
- Press Ctrl+S or click Save to save the task.
Viewing Completed Tasks
By default, only outstanding tasks are displayed.
To view completed tasks:
- Tick the Show All (or only non-complete items) checkbox.
- Completed tasks will then be displayed alongside outstanding tasks.
Tips
- Use clear and meaningful task descriptions so other users can quickly understand what needs to be done.
- Assign priorities to help users focus on the most important activities first.
- Use task types consistently to improve reporting and organisation.
- Highlight urgent tasks to make them easier to identify.
- Review completed tasks regularly to maintain a useful customer activity history.
