How To: Limit Users who can Release Orders from Terms Hold

You can restrict which users are able to release invoices from Terms Hold by assigning a password. Once configured, users must enter the correct password before they can move invoices from Terms Hold to Released in the Sales Invoice Manager.
This helps ensure that only authorised users can override credit or payment term restrictions.
Set Up the Terms Hold Release Password
- Open the System Data screen (Show me how).
- Open the [ Admin Passwords ] tab.
- Locate the Terms Hold Release row.For more information about Terms Hold, see Terms Hold.
- Click in the Password column for the Terms Hold Release row.
- Enter the password that authorised users will be required to use.
- Press Ctrl + S or click Save.
The password is now active and will be requested whenever an invoice is released from Terms Hold.
Releasing an Invoice from Terms Hold
Once a password has been configured, users will be prompted to enter it whenever they:
- Release an invoice from Terms Hold; or
- Drag and drop an invoice from Terms Hold into Released
within the [ Sales Invoice ] screen.
To release the invoice:
- Enter the password when prompted.
- Click OK.
If the password is correct, the invoice will move to the Released stage.
Incorrect Password Behaviour
If the user:
- Clicks Cancel; or
- Enters an incorrect password
Khaos Control will:
- Display a warning that the password is invalid.
- Leave the invoice in Terms Hold.
- Prevent the selected invoice or invoices from being released.
Additional Information
- The password only controls the release of invoices from Terms Hold.
- Users can still move invoices into Terms Hold as normal.
- Orders can continue to be placed into Terms Hold automatically during sales order processing or manually within the Sales Invoice Manager.
- The same password applies to all users who need permission to release invoices from Terms Hold.
