How To: Give a User KPAF rights

Introduction

If your business uses KPAF (Royal Mail Postcode Address File) integration, you can enable postcode lookup access for selected users in Khaos Control.
Users with a KPAF licence can search for postcodes and automatically populate customer and supplier address details using Royal Mail address data. This helps speed up the creation and maintenance of customer and supplier records while reducing manual data entry.

Before You Start

Make sure that:
  • Your system has an active KPAF licence.
  • A KPAF licence is available for assignment to the user.

Steps

  1. Open the System Data screen. (Show me how)
  2. Double-click [ Others | Users ].
  3. Press Alt + E or click Edit to enter edit mode.
  4. Tick the KPAF? checkbox for the required user.
  5. Press Ctrl + S or click Save.
The user can now use KPAF postcode lookup features where available within Khaos Control.

Notes

  • The total number of users with the KPAF? option enabled cannot exceed the number of postcode addressing licences held by your business. For more information, see Postcode Addressing: Licensing Model.
  • Users with permission to edit User records can update their own User details, although they cannot change their user name.

Additional Information

KPAF access is controlled on a per-user basis, allowing you to allocate licences only to the users who regularly create or maintain customer and supplier records. This helps ensure your available licences are used efficiently
