Customer / Supplier Statement Tab

The Customer/Supplier Statement tab is the account ledger for a customer or supplier.
It displays sales invoices, purchase invoices, payments, credit notes and other accounting transactions, allowing them to be allocated against one another and providing a complete view of the account balance.
This tab is commonly used to:
  • Review outstanding balances.
  • Allocate payments and credit notes.
  • Manage customer and supplier debt.
  • Investigate account transactions.
  • Print statements and remittance reports.
For information about the Other Actions menu, press F9 or click the drop-down arrow and see Customer Other Actions Menu.

Statement Tab Layout

The Customer/Supplier Statement tab is divided into several key areas:
  1. Top Section
  2. Statement Transactions Grid
  3. Allocate From, Allocate To and Debt Summary Grids
Each area provides tools for reviewing, allocating and managing account transactions.

Printing Statements

Press Ctrl+P or click Print on the toolbar to open the Statement Run Dialog.
From here you can generate:
  • Customer statements
  • Remittance advice reports
  • Combined invoice reports
These reports can be produced for individual customers or groups of customers depending on your requirements.

Using Currencies

When working with foreign currencies, you may notice differences between the values shown in the Customer/Supplier Statement and the figures displayed in the [ Accounts | Profit & Loss ] tab.
This is because:
  • The Statement tab shows the customer's balance after allocations have been applied.
  • The Profit & Loss tab displays the original sales values posted to the sales nominal accounts.

Viewing Currency Gain and Loss Postings

To view the accounting entries associated with currency gains or losses:
  1. Right-click within the Statement Transactions Grid.
  2. Select Show Journal Details.
This displays the journal postings associated with the selected transaction, including any currency gain or loss adjustments.

Additional Notes

  • Multiple allocations may generate multiple currency adjustment entries.
  • Currency gains and losses are not assigned to nominal classifications.
  • These adjustments affect debtor and creditor balances only.
  • They do not alter the original postings made to the sales or purchase nominals.

Other Actions Menu - Accounting Functions

Open the Other Actions menu by pressing F9 or clicking the drop-down arrow next to the green circle and white cross icon on the toolbar.
The following accounting functions are available from the Statement tab.

Accounting Functions

Perform Credit Review

The Credit Review process helps you:
  • Review customer credit limits.
  • Monitor account balances.
  • Assess customer payment terms.
  • Make informed credit decisions.

Debt Chasing

This dialog displays customers currently involved in the debt-chasing process, helping you manage overdue accounts and outstanding balances.

Transfer Transactions / Balance to HQ Company

Transfers statement transactions from one or more child companies to their linked HQ company.
Khaos Control automatically handles this process for transactions created after the HQ relationship has been established.
This option is generally only required when:
  • A parent-child company relationship has been created after transactions already exist.
  • Historical transactions need transferring to the HQ account.
To use this feature:
  1. Select the required companies from the company list.
  2. Open the Other Actions menu.
  3. Choose Transfer Transactions / Balance to HQ Company.

The Print menu provides access to several statement and account-related reports.

Statement Run

This option allows you to print statements for customers with outstanding balances.
Additional options include:
  • Printing remittance advice reports
  • Producing combined invoice reports
  • Generating customer account summaries
If Remittance Advice is enabled for a customer, a Payment Remittance Report will also be produced.

Credit Summary

Opens the Credit Summary report dialog.
This report can be generated for:
  • Individual companies
  • Customer classifications
  • Supplier classifications
The report summarises credit notes raised during the selected date range.
Note: The combined invoice report only includes credit notes created within the specified date range.

Payment Reports

Payment reports provide summaries of customer and supplier payments recorded within Khaos Control.

Customer Payment Reports

Prints the Customer Payment Summary report.
This report displays all customer payments entered since the report was last reset and can be used to support banking and reconciliation processes.
After printing, you can choose to reset the report, clearing the payment list ready for the next reporting period.

Supplier Payment Reports

Prints the Supplier Payment Summary report.
This report displays all supplier payments entered since the report was last reset.
As with customer payments, the report can be reset after printing.

Company List

Generates a detailed report listing customer and supplier information, including:

Information Included
Created Date
URN
Company Name
Classification
Credit Limit
Payment Terms
All Addresses
All Contacts

This report is useful for account reviews, audits and data validation.

Complaint Summary

Produces a report summarising customer complaints over the previous year.
The report includes:
  • Complaint categories
  • Level 2 Stock Types
  • Complaint classifications
  • Customer service issues
  • Product-related complaints
This report can help identify recurring trends and areas for improvement.

Tips

  • Regularly review customer statements to monitor overdue balances.
  • Use Perform Credit Review to assess customers approaching their credit limits.
  • Check Show Journal Details when investigating currency differences.
  • Print payment reports before resetting them if you need an audit trail.
  • Use debt chasing tools to proactively manage overdue customer accounts.
