How To: Create a Batch Controlled Stock Item

Batch-controlled stock items allow you to track stock by batch number, making it easier to manage traceability, expiry dates and stock movements.
Creating a batch-controlled item is very similar to creating a standard stock item, with one important difference: both Stock Controlled and Batch Code Required must be enabled.
Create the Stock Item
- Open a Stock screen (show me how).
- Press Ctrl+N or click New.
- Enter the required information for the new stock item.
Required Fields
Stock Detail Properties Tab - General
The following fields must be completed:
- Stock Code (Required)
Enter a unique reference code for the item.Note: When you save the record, Khaos Control automatically removes any spaces from the beginning or end of the stock code. - Description
Enter a description of the item. - Stock Type (Required)
Select the Level 2 stock type used to categorise the item.
Recommended Fields
The following fields are optional but are commonly used for stock management and reporting.

| Buy Price | The cost price of the item from the supplier. |
| Sell Price | The selling price of the item. |
| Sale Limit | Maximum quantity permitted for sale, if applicable. |
| Stock Value | Used when calculating Cost of Sales (COS). |
| OvHds | Overhead value associated with the item. |
| Tax Portion | Percentage of the item subject to tax. |
| Reward Points | Number of reward points awarded for purchase. |

| Min Level | Minimum stock level before replenishment is required. |
| Reorder Period (d) | Number of days used for reorder calculations. |

| Buffer Level (d) | Additional stock buffer measured in days. |
| Avg. Weight | Average weight per item. See Average Weight. |
| Min Reorder (q) | Minimum quantity to reorder. |
| Reorder Point (d) | Reorder trigger point. |
| Reorder Multiple | Reordering quantity multiple. |
| Picking Order | Sequence used for warehouse picking. |
| Launch Date | Date the item becomes available. |
| Launch Time | Time the item becomes available. |
| Postage Weight | Weight used for shipping calculations. |
| Location | Default storage location. |
Enable Batch Control
Open the Stock Detail Options Tab and review the following settings:

Important: The item will only use batch tracking if both Stock Controlled and Batch Code Required are enabled.
Accounting Settings
Open the Stock Detail Accounting Tab.
Base Tax Rate
Select the appropriate tax rate for the item.
This allows Khaos Control to correctly calculate VAT on purchases and sales.
Save the Stock Item
Once you have entered the required information and enabled batch control:
- Press Ctrl+S or click Save.
- The stock item is now ready for batch codes to be created and assigned.
