How To: Create an EC Sales List

Important: The EC Sales List is no longer generally required for UK businesses following Brexit. However, some organisations may still use EC Sales Lists for specific reporting requirements.
Before generating an EC Sales List, ensure that each customer you want included in the report has been configured correctly.
Prerequisites
For sales invoices and credit notes to appear on the EC Sales List report, the customer must have:
- A VAT or European Tax Reference entered in the [ Customer | General ] Tax Ref field.
- An EU country selected in the [ Customer | Financial ] Country field.
Generate the EC Sales List
- Open an Accounts screen (show me how).
- Open the Tax (VAT) | EC Sales List ] tab.
- Select the reporting period you want to use.
Quarterly
If you are reporting by quarter:
- Enter the required Year.
- Select the appropriate Quarter.
Monthly
If you are reporting by month:
- Enter the required Year.
- Select the required Month.
Date Range
If you want to report on a specific period:
- Enter the required From and To dates.
Past VAT Return
If you want to use a previously submitted VAT period:
- Select the required VAT return from the Year drop-down list.
- If required, tick Include Allocation Transactions (UT Prefix) to include underpayments and overpayments in the report.
- Click Go to generate the report.
- Before exporting, ensure the following details have been completed:
- VAT Number (Required)
- Contact Name (Optional)
- Branch (Optional)
- Click Export CSV to save the report.
Understanding the Results
The report displays one entry per customer and includes:
- Sales transactions.
- Credit note transactions.
- A net value showing the combined total of sales and credits for the selected period.
If a customer's value is negative, more credits than sales were processed for that customer during the reporting period.
Notes
- Custom date ranges cannot be used for online or electronic EC Sales List submissions.
- Results are grouped by customer and show the net value of all included sales and credits.
- The figures displayed may not match the Tax Register exactly because:
- Private individuals are excluded from the report.
- Free items may be included depending on your system configuration.
