How To: Cancel Invoice Allocations

The Cancel Allocations function allows you to remove payments that have been allocated to an invoice.
This feature is available for both:
  • Customer transactions (Sales Ledger)
  • Supplier transactions (Purchase Ledger)
Use this process when you need to unallocate payments currently linked to an invoice. If you want to remove allocations from a payment instead, see How To: Cancel Payment Allocations.

Cancel an Invoice Allocation

  1. Open a Customer screen (show me how), or open a Supplier screen (show me how), depending on the account you are working with.
  2. Load the required customer or supplier account.
  3. Tick the Show All checkbox located below the Allocate To (Invoices) grid.
  4. In the Allocate To (Invoices) grid, locate the invoice you want to unallocate.
    • To remove allocations from a single invoice, select the invoice row.
    • To remove allocations from multiple invoices, green-select the required rows.
  5. Right-click the selected invoice and choose Cancel Allocations from the context menu.
  6. If prompted with "Remove ALL allocations from the selected item", click Yes.
  7. If multiple invoices are selected, a warning message will appear:
"Multiple Items selected - Continue and Cancel ALL selected allocations?"
    Click Yes to continue.

What Happens Next?

Once the allocation has been removed:
  • The payment previously allocated to the invoice will appear in the Allocate From (Credit Notes, Invoices) grid.
  • The payment can then be allocated to a different invoice if required.

Additional Information

  • You may need to tick the Show Archived checkbox near the top-left of the Statement screen to view invoices that have already been allocated.
  • If more than one payment has been allocated to an invoice, using Cancel Allocations will remove all allocations linked to that invoice.
  • The Cancel Allocations function works in the same way for both customer and supplier accounts.
