How To: Cancel Payment Allocations
The Cancel Payment Allocations function allows you to remove invoice allocations from a customer payment. This can be useful if a payment has been allocated incorrectly and needs to be reapplied to different invoices.
This feature is only available for Customer (Sales Ledger) transactions.
If you need to remove a payment allocation from an invoice instead, see How To: Cancel Invoice Allocations.
Before You Begin
- The transaction must be a Customer (Sales Ledger) transaction.
- You must have access to the customer account and statement information.
- Historical payments may only be visible when Show Archived is enabled.
Cancel a Payment Allocation
Step 1: Open the Customer Record
- Open a Customer screen using (show me how).
- Load the required customer.
- Select the [ Customer | Detail | Statement ] tab.
- Tick the 'Show Archived' checkbox in the top-left corner of the statement screen.
Step 2: Select the Payment
- Locate the payment you want to unallocate in the Allocate From (Credit Notes, Invoices) grid.
- To cancel multiple payment allocations at the same time, green-select the required rows.
Step 3: Cancel the Allocation
- Right-click the selected payment.
- Select Cancel Payment Allocations from the shortcut menu.
- If the message "Remove ALL allocations from the selected item" appears, click Yes.
Step 4: Confirm Multiple Selections (If Applicable)
If multiple payments have been selected, the following warning is displayed:
"Multiple Items selected - Continue and Cancel ALL selected allocations?"
Click Yes to proceed.
What Happens Next?
Once the allocation has been removed:
- The previously allocated invoice appears in the Allocate To (Invoices) grid.
- The payment is no longer linked to the invoice.
- The payment can be reallocated as required.
Important Notes
- You may need to enable 'Show Archived' to view older payments.
- If a payment has been allocated to multiple invoices, cancelling the allocation will remove all allocations associated with that payment.
- This process only removes the allocation. It does not delete the payment or invoice transaction.
