How To: Report on ICN Imports (PO) and Exports (SO)

Use the Intrastat report to view and export details of goods imported or exported within the selected reporting period.
Before generating an Intrastat report, ensure that your stock items have been configured with the correct Intrastat Commodity Codes. For guidance, see How To: Setup Intrastat ICN Codes.
Important: For a transaction to appear in the Intrastat report, it must exist in the EC Tax Register. If an entry appears in the UK VAT grid, you can move it to the EC Tax Register by using the context menu option Move Selected VAT Entry → Move to EC Tax Register.
Generate the Report
- Open an Accounts screen. If required, see (show me how).
- Open the Intrastat_Tab" target="_blank" rel="noopener noreferrer">Tax (VAT) | Intrastat tab.
- Select the reporting period by clicking the green rollover arrow and choosing the required date range. By default, the system selects the current month.
- Choose the report type:
- Imports (PO) to report on purchased stock.
- Exports (SO) to report on sold stock.
- Click Go to generate the report.
Include a Full Breakdown
If you require additional transaction detail:
- Tick Full Breakdown.
- Click Go again to refresh the report.
When enabled, the report includes additional columns such as:
- URN
- Invoice Number (Imports and Exports)
- Supplier Reference (Imports only)
The additional information will be displayed where it is available.
Export the Report
- Once the report has been generated, click the Export CSV button.
- Choose a location to save the file.
- Save the report for submission, review or further analysis.
Troubleshooting
Transactions are Missing from the Report
Check that:
- The transaction exists in the EC Tax Register.
- The stock item has been assigned the correct Intrastat Commodity Code.
- The transaction falls within the selected reporting period.
If necessary, move qualifying entries from the UK VAT grid to the EC Tax Register using Move Selected VAT Entry → Move to EC Tax Register, then regenerate the report.
