How To: Send an Email for a Sales Order Acknowledgement

It is possible to automatically send an email for Sales Order Acknowledgements (Basic Reports Version) and include the Agent against the order in the email. There are two steps to setting up the email:

Step One - Create the Email Message Template

  1. Create a new Email Message Template must be created, see How To: Setup Email Templates.
  2. Set the Trigger Type as SO Acknowledge.
  3. If you wish the Agent from the sales order to receive a copy of the email either as CC or BCC enter $AGENT_EMAIL into either field as required.
    Notes:
    1. This will use the email address stored against the agent in [ System Data | Agents ], based on the Agent selected against the Sales Order which has triggered the email to be sent.
    2. Additional fixed CC or BCC addresses can also be included when separated by a comma or semi colon.
  4. Complete the message template as required. The Tags are the same as those available to the INVOICE template, see SO Acknowledge Trigger Type Tags.
  5. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save when you have set the Message Template up

Step Two - Setup the Trigger Rule

  1. Create a new Trigger Rule, see How To: Setup Email Trigger Rules.
  2. Set the Trigger Type to SO Acknowledge.
  3. Select the Email Message Template created above from the Message Template drop-down.
  4. Select the conditions that you wish to use, these are the similar to those available for Invoice Trigger Rules.
  5. Press Ctrl+S or click the disk icon is the button bar's SAVE button to save when you have configured your Trigger Rule
