How To: Setup and use Vat Relief Qualified
Customers may qualify for VAT relief when purchasing specific stock items, for example, wheelchairs are eligible for VAT relief, nebulisers are eligible for VAT relief. However the customer is only eligible for VAT relief if they have a medical condition that requires those items. So somebody with chronic asthma would be eligible for relief on the nebuliser, but not on the wheelchair.
Setup VAT Relief Qualified (VRQ)
For the system to exempt the item from VAT on sales order, VRQ must be enabled for the stock item, the customer AND the sales order's brand.
Enable VRQ against a Stock Item
- Open a Stock screen .
- Open the
[ Stock | Detail | Options ]
tab. - Press Alt+E or click to enter edit mode.
- Tick the VAT Relief Qualified option.
- Press Ctrl+S or click to save.
Note: groups of stock items can be marked as VRQ using the Block change options, see How To: Block Update Selected Stock Items.
Enable VRQ against a Customer
- Open a Customer screen .
- Load the required customer record.
- Press Alt+E or click to enter edit mode.
- Tick the VAT Relief Qualified checkbox in the Options area of the
[ Customer | General ]
tab. - Press Ctrl+S or click to save.
Enable VRQ against a Brand
- Open a System Data screen .
- Double click on the
[ Sales Order Processing | Branding ]
line. - Press Alt+E or click to enter edit mode.
- Tick the Tax Relief checkbox.
- Press Ctrl+S or click to save.

Using VRQ in Sales Orders
If the VRQ option is enabled against the stock item, customer and brand.
- Create a new sales order, see How To: Create a New Sales Order.
- Add the brand to the sales order in the Additional tab.
- Add stock items to the sales order, the VAT relief will be applied to the VRQ qualifying stock items.
- Press Ctrl+S or click to save when finished editing the sales order.
Notes:
- Where the Brand option is unticked, but the Stock and/or Customer options are ticked, the system will not prompt the user and will leave the VAT Rate on the sales order line as defined against the stock item (i.e. it will not be exempt). This means that for users trading under a single brand, the brand must be set up in
[ Sales Order Processing | Branding ]
in System Data, and the VRQ checkbox ticked. - The system will display a popup when copying and/or moving a sales order to another customer to confirm whether you want to retain the settings from the original sales order:
- Yes (default): to add the VAT relief to the stock item in the order, or
- No: keep the VAT rate against the item.
- VRQ is not supported in Electronic Point of Sale (EPOS).
