How To: Automatically Move Sales Orders to a Manual Hold Stage when they are from Specific Post Codes

Khaos Control can automatically place sales orders into a specific Manual Hold stage when the delivery or invoice postcode matches criteria you define.
This is useful for:
  • Orders requiring additional verification
  • High-risk delivery areas
  • Export or restricted regions
  • Special shipping and compliance checks
Once configured, qualifying orders will automatically move into the selected Manual Hold stage for review.

Configure Postcode-Based Manual Hold Rules

  1. Open the Other Actions menu by:
    • Pressing F9, or
    • Clicking the dropdown arrow next to the green Add button on the toolbar.
  2. In the Invoice Rules window, open the Terms Enforcement tab.
  3. Click the Add Rule button.
  1. Click the Postcode Restrictions button.
  2. Tick the Enabled checkbox.
  3. In the Country column, press F4 and select the required country.
  4. Enter the postcode regions that should trigger the rule.
    For formatting guidance, see Configuring Postcodes.
    Note: Postcode matching supports partial postcode matches. For example, entering NG2 will match:
    • NG21
    • NG22
    • NG23
    and any other postcode beginning with NG2.
  5. Click Close to return to the Terms Enforcement screen.
  6. Select the Manual Hold stage that matching orders should move into.
    Tip: You can create additional Manual Hold stages to better organise different hold reasons. For more information, see How To: Add a New Stage to Manual Hold.
  7. Click OK to save the rule.
  8. Close the Invoice Rules window and reopen it.
  9. Verify that the checkbox at the beginning of the rule is now ticked. This confirms that the rule has been configured successfully and is active.

How Country and Postcode Matching Works

When evaluating postcode rules, Khaos Control considers both the postcode and the country configuration.

Country Specified

If a country is selected against a postcode rule, both values must match before the rule will be applied.
For example:
CountryPostcode Region
Germany12345
If an order has:
  • Country = Germany
  • Postcode = 12345
the order will be moved to Manual Hold.
If an order has:
  • Country = France
  • Postcode = 12345
the rule will not apply, even though the postcode matches.

No Country Specified

If postcode regions are entered but no country is selected:
  • The postcode rule applies regardless of the country on the order.
  • Any order matching the specified postcode region can trigger the rule.

UK Postcode Matching

Postcode matching within:
  • Sales Invoice Rules
  • Courier Bandings
  • Delivery Rates
can be configured to evaluate both portions of a UK postcode.

Additional Information

  • Rules can be configured against delivery postcodes or invoice postcodes, depending on the type of restriction being created.
  • Multiple postcode regions can be entered for a single rule.
  • Orders that match the configured criteria are automatically routed into the selected Manual Hold stage.
  • Manual Hold stages can be customised to suit your fulfilment and review processes.
  • Country-specific rules provide greater control when postcode formats overlap across different countries.
