Stock Other Actions Menu

The Other Actions menu provides access to a range of stock-related functions, including copying stock items, managing User Defined Attributes (UDAs), quarantining stock, running write-off reports, exporting stock data and viewing audit history.
To open the menu, either:
- Press F9, or
- Click the down arrow immediately to the right of the green circle with the white cross icon on the toolbar.
Send To
The Send To option allows you to send the currently loaded stock item as a Document Notification to another user.
Available Options
- Not Logged In
Send the stock item to a user who is not currently logged into Khaos Control. - User List
Displays users who are currently logged in, allowing you to send the stock item directly to them.
Copy Stock Item
Creates a copy of the currently loaded stock item.

Items Not Copied
When a stock item is copied, the following information is not copied to the new record:
- Structured Prices
- Complaints and Comments
- Images
- UDAs
- Catalogue Pages
- Linked Documents
- Up Sell and Cross Sell configurations
- Locations
- Country Bars
Special Considerations
Stock Relationships
If the original stock item contains Build or Pack relationships, you will be asked whether you want to copy those relationships.
If you select Yes, the system copies:
- Relationship parent records
- Relationship child records
- Any relationships where the original item is a child item
Complaints and Comments
Although complaints and comments are not copied, any Extended Stock Descriptions are copied.
Locations
If Warehouse Control is in use, the new stock item must have its own location records created. Until then, it will be managed using the system warehouse location.
Warning: Admin Users can copy stock items even if they do not have permission to create new stock items.
User Defined Attributes (UDA)
Opens the Dialog User Defined Attributes (UDA) .
This allows you to:
- Create new UDAs
- Maintain existing UDAs
- Apply UDAs to stock items
If no stock item is currently loaded, the Stock Lookup window opens automatically and you must select a stock item before continuing.
Write Off / Quarantine
The Write Off / Quarantine menu provides options for managing damaged, faulty or unavailable stock.

Quarantine Stock Item
Move stock into or out of quarantine.
When selected:
- Enter the quantity to quarantine.
- Click OK to confirm.
If previously quarantined stock becomes available for sale again, enter a negative quantity to return stock from quarantine back into available stock.
Note: This functionality is not used when Warehouse Control is enabled.
Write Off from Quarantine
Permanently removes stock held in quarantine.

Warning: Stock write-offs cannot be undone.
Write Off Report
Generates an audit report showing all stock items that have been written off, including quantities, reasons and site information.
You can choose to:
- Include items already reported previously.
- Only include changes since the last report.
Report Notes
- Users require Delete and Adjust Stock permissions to write off stock.
- Results are grouped by stock item and write-off date.
- Multiple write-offs are consolidated, with quantities totalled and prices averaged.
- Item summary totals are displayed in bold.
- Where multiple quantities have been written off, the recorded value reflects the quantity written off.
- The site where the stock was written off is included in the report.
Update Value Proportion Global
Updates the Value Proportion % for Build and Move With (Pack) stock relationships, either for selected items or all applicable items.
This feature helps Khaos Control calculate profit margins more accurately.
Important Information
- Updating the value proportion does not update stock values.
- Parent and child stock values remain unchanged.
- Only the value allocation used for margin calculations is updated.
- By default, value proportions are calculated using the child stock item's Stock Value.
Note: If you would prefer calculations to be based on the child item's Buy Price, please contact Support.
Permissions
Updating value proportions globally requires Admin level permissions.
Web Configuration
Opens the Stock Web Categories configuration screen, allowing you to manage web category settings for stock items.
Export
The Export menu provides a range of stock export options.
XML Stock Items (Selected)
Exports full stock item information for all stock items currently selected in the [ Stock | List ] grid.
XML Stock Items (Web Category)
Exports full stock item information for all items assigned to Stock Web Categories.
XML Stock Status (Selected)
Exports stock status information for all selected stock items.
XML Stock Status (All)
Exports stock status information for all stock items.
Actinic Stock Export (Selected)
Exports stock status information in Actinic CSV format for selected stock items.
Actinic Stock Export (All)
Exports stock status information in Actinic CSV format for all stock items.
Import Stock Items
Opens the Stock Import Tool, allowing stock records to be imported into Khaos Control.

Audit
Opens the Audit Dialog.
The Audit Dialog provides a history of changes made to the selected stock item, allowing you to review activity and track updates for auditing and troubleshooting purposes.
