Stock Sales Order Assignments Tab

The [ Stock | Sales Order Assignments ] tab shows which sales orders have stock allocated to them. This is useful for checking stock commitments, monitoring outstanding orders, and identifying potential stock shortages before dispatch.
For information about the Other Actions menu, press F9 or select the drop-down arrow next to Other Actions, then see Stock Other Actions Menu.
How Stock Assignments Work
When a Sales Order is saved, stock is automatically assigned if:
- The stock item is stock controlled.
- Sufficient stock is available.
Once the Sales Order has been invoiced, the stock assignment is removed and the stock is booked out of the system.
Screen Layout
The [ Stock | Sales Order Assignments ] screen contains two main areas:
Top Filters
Use the filters at the top of the screen to control which assignments are displayed.
Show For Current
Enabled by default.
When selected, only assignments for the currently loaded stock item are displayed.
Show All
Displays assignments for all stock items across the system.
Show Assigned
Controls whether only assigned stock is shown.
- Ticked: Displays only Sales Orders where stock has been partially or fully assigned.
- Unticked: Displays all stock items on Sales Orders currently being processed, whether stock has been assigned or not.
Site
Use the Site filter to view stock assignments for a specific site or across all sites.
Sales Order Assignment Grid
The grid displays detailed information about each stock assignment.

| SO# | The Sales Order number associated with the stock item. |
| Stock Description | The stock item's short description. |
| Sold | The quantity entered on the Sales Order. |
| Assigned | The quantity currently allocated to the Sales Order. |
| Sent | The quantity already dispatched to the customer as part of a partial shipment. |
| Site | The site where the Sales Order was created and is being processed. |
Context Menu Options
Right-click within the grid to access additional options.
Goto Customer
Opens the related customer record in the [ Customer | Detail | General ] tab.
Goto Sales Order
Opens the selected Sales Order in the [ Sales Order | Detail | Main ] tab.
Clear Selection
Removes the highlight from any selected row or rows.
Finding Outstanding Unassigned Stock
You can use the Assignments screen to identify stock items that appear on open Sales Orders but have not yet been allocated.
This can help you review stock priorities and identify opportunities to reassign stock where necessary.
Create an Outstanding Unassigned Stock Report
- Untick Show Assigned.
- Select Show All.
- Sort the Stock Description column in ascending order by:
- Clicking the column heading, or
- Selecting the column and pressing Ctrl+D.
- Hold Shift and click the SO# column heading to add an ascending secondary sort.
- Hold Shift and click the Sold column heading to add an ascending tertiary sort.
- Hold Shift and click the Assigned column heading to add a further ascending sort.
- Open the grid menu and select Print Grid.
- Enter a report name, or select an existing template, then click OK to generate the report.
Note: The Ctrl+D shortcut only works when applying a single column sort. It cannot be used when creating multiple-level sorts.
Additional Information
- Stock assignments are created automatically when eligible stock is available.
- Assigned stock remains reserved against the Sales Order until invoicing takes place.
- Reviewing unassigned stock regularly can help identify fulfilment issues before dispatch.
- The Site filter can be particularly useful for businesses operating across multiple locations.
