Sales Orders Notes Tab

The [ Sales Order | Notes ] tab allows you to add notes to a specific Sales Order. These notes can be printed on picking lists, delivery notes, and invoices, helping you communicate important information to warehouse staff, customers, and finance teams.
For information about the Other Actions menu, press F9 or select the drop-down arrow next to Other Actions, then see Sales Orders Other Actions Menu.
Note: Both the Delivery Notes / Picking List Note and Invoice Note fields support rich text formatting, including Unicode symbols, emojis, and foreign language characters.
The Sales Order Grid remains available across all Sales Order detail tabs.

Screen Layout

The [ Sales Order | Notes ] tab contains two note areas, each with its own drop-down list for selecting predefined notes:
  • Delivery Notes / Picking List Note
  • Invoice Note

Delivery Notes / Picking List Note

The Delivery Notes / Picking List Note area is used to store information that should appear on picking sheets and delivery documentation.
Any text entered in this area is printed in the Notes / Special Instructions section of single or batch printed picking lists.
Note: If your business uses customised Basic or Standard reports, these notes may appear in a different location or may not be displayed.

Entering Picking List Notes

You can either:
  • Type notes directly into the note area for this specific Sales Order.
  • Allow notes to be populated automatically from configured sources.

Default Notes

Picking notes can be configured in [ Relationship Management | Default Notes ] using the Picking / Despatch note type.
These notes:
  • Can be applied to all Sales Orders.
  • Are automatically displayed when active and within their valid date range.
  • Can be selected from the Picking List Notes drop-down.

Customer-Specific Notes

Customer-specific delivery notes can be entered in [ Customer | Details | CRM | Free Text Notes ] using the Delivery Note / Picking Note field.
These notes are only applied to Sales Orders for that customer.

Invoice Priority Notes

Notes configured against [ System Data | Invoice Priorities ] can also be appended to the Sales Order.
These notes are added after the Sales Order has been saved.

Picking List Notes Drop-Down

The Picking List Notes drop-down displays all available default picking notes.
When a note is selected:
  • The chosen default note is copied into the Delivery Notes / Picking List Note area.
  • Any existing text in the note area is replaced.
  • Additional free-text notes can be added afterwards if required.

Invoice Note

The Invoice Note area is used for information that should appear on printed invoices.
Any text entered here is printed in the Notes / Special Instructions section of the invoice.
Note: If your business uses customised invoice layouts, these notes may appear in a different location or may not be displayed.

Entering Invoice Notes

You can enter notes manually or allow them to be populated automatically from configured sources.

Default Invoice Notes

Invoice notes can be configured in [ Relationship Management | Default Notes ] using the Sales Invoice note type.
These notes:
  • Can be applied automatically to all invoices.
  • Will populate the Invoice Note area when active and within their valid date range.
  • Can be selected from the Invoice Notes drop-down.

Customer-Specific Invoice Notes

Customer-specific invoice notes can be configured within [ Customer | Details | CRM | Free Text Notes ].
These notes are only displayed on Sales Orders and invoices for the selected customer.

Invoice Priority Notes

Invoice Priority notes configured in [ System Data | Invoice Priorities ] can also be appended to the Invoice Note area after the Sales Order has been saved.

Invoice Notes Drop-Down

The Invoice Notes drop-down lists all available default invoice notes.
When a note is selected:
  • The selected note replaces any existing text in the Invoice Note area.
  • Additional free-text information can be added if required.

Note Area Context Menu

Both note areas support a right-click context menu with standard editing options.

UndoReverses the last change made.
CutRemoves selected text and copies it to the clipboard.
CopyCopies selected text to the clipboard.
PasteInserts text from the clipboard into the note area.
DeleteRemoves selected text.
Select AllSelects all text within the active note area.

Additional Information

  • Notes can be entered manually or populated automatically from configured defaults.
  • Delivery and Picking List notes help communicate important instructions to warehouse and dispatch teams.
  • Invoice notes can be used to provide customers with additional information on printed invoices.
  • Rich text formatting is supported, allowing greater flexibility when presenting information.
  • Default notes can help ensure important messages are applied consistently across Sales Orders.
