Sales Orders Other Actions Menu

The Other Actions menu provides access to additional tools, shortcuts, reporting functions and document management options for Sales Orders.
To open the menu:
- Press F9, or
- Click the down arrow immediately to the right of the green circle with a white cross icon on the toolbar.
Payment Types
The Payment Types menu allows you to quickly change the payment method on a sales order using keyboard shortcuts.

Quick Payment Shortcuts
The following shortcuts are available while editing a sales order:
| Shortcut | Payment Type | Behaviour |
|---|---|---|
| F9 + 1 | Cash | Automatically sets the payment amount to the Order Total. |
| F9 + 2 | Cheque | Automatically sets the payment amount to the Order Total. |
| F9 + 3 | Credit Card | Changes the payment type. After saving, right-click the payment line and select Calculate New Payment Amount. |
| F9 + 4 | Account | Changes the payment type to Account. A warning is displayed if unprocessed payments already exist. |
Notes
- These shortcuts only affect the payment line currently selected on the Payment tab.
- Sales Orders with multiple payment lines must be updated manually.
- Payment shortcuts are only available while the sales order is in edit mode.
View Cancelled Codes
View Cancelled Codes allows you to review sales order numbers that have been cancelled and retained for audit purposes.
This option is particularly useful where cancelled document numbers are not reused.
Quotes
The Quotes menu contains options for working with both customer and supplier quotations.
Customer Quotes
Convert Quote to Sales Order
Converts a saved quotation into a sales order.
When the sales order is saved, stock will be allocated where appropriate.
Note: This option is not available while the document is in edit mode.
Convert Sales Order to Quote
Converts a saved sales order back into a quotation.
This is only available if payment has not been taken.

Supplier Quotes
Open Supplier Quotes
Opens the Supplier Quotations List screen.
Create New Supplier Quotes
Creates new Supplier Quotations using either:
- The green-selected lines on the sales order, or
- All lines on the sales order.
Note: New sales orders must be saved before supplier quotations can be created.
Audit
The Audit menu allows authorised users to review historical changes made to sales orders.
Show for Order
Opens the Audit Dialog.
Users with Audit Permission can review changes made to sales orders after they have been saved.
When launched from a loaded sales order, the audit is automatically filtered to that order.
Note: If the Audit Dialog is opened from the [ Sales Orders | List ] screen, no automatic customer or document filtering is applied.
Legacy Audit
Opens the Legacy Audit screen.
This alternative audit view also includes the ability to generate Cancelled Sales Order reports.
Copy and Move Sales Orders
Copy Sales Order (Same Customer)
Creates a duplicate of the currently loaded sales order for the same customer.
The copied order includes:
- Stock items
- Extended descriptions
- Addresses and contacts
- Pricing information
- Other associated order data

Note: If the original address or contact is no longer active, Khaos Control automatically replaces it with the customer's current default details.
Copy Sales Order (as Credit Note)
Creates a copy of the sales order and changes the document type to a Credit Note.

Copy Sales Order (Different Customer)
Creates a copy of the current sales order and allows a different customer to be selected.

Move Sales Order
Moves an existing sales order to another customer account.
Restrictions
A sales order cannot be moved if:
- Payments have been taken.
- Invoices have been issued.
- The document is a Credit Note.
Only Sales Orders can be moved using this option.
Import / Export
The Import / Export menu allows sales orders to be imported from external systems or exported for later use.
Import
Imports sales orders from websites, marketplaces and other external systems.
Web imports must be configured before use. Contact Khaos Control Support if you require assistance setting up an import.
Khaos Control
Imports standard Khaos Control XML files.
Web Carts
Imports Actinic and EROL web cart orders.
Channels
eBay Orders (CSV)
Imports orders from eBay.

Amazon Orders
Imports orders from Amazon.
PlayTrade Orders
Imports orders from PlayTrade.
Import Notes
Because Khaos Control web services support real-time integration, they are generally the preferred option for transferring data between Khaos Control and external systems.
Manual imports are typically used for:
- Testing integrations.
- Importing small quantities of orders.
- Occasional or ad-hoc imports.

Note: When importing orders using this option, the Import Override Stock Description setting in the [ Stock | Channel Setup ] screen is ignored. The stock description from the imported order will be used instead. Contact Support if you want Khaos Control stock descriptions to be used instead.
Export
Exports sales orders to XML files for archiving or later import.
Available formats:
- Standard XML (Single)
- Standard XML (Batch)
Sales Statistics
Opens the Sales Order Statistics window.
This feature allows you to analyse sales order performance by:
- Sales order count
- Sales order value
- User-defined date ranges
The Print menu provides access to standard sales order documents and pricing reports.
Sales Order Acknowledgement
Prints a document based on the current document type, such as:
- Sales Order
- Quotation
- Pro Forma Order
Available formats include:
- Format A - With Prices
- Format A - Without Prices
- Format B - With Prices
- Format B - Without Prices (Delivery Note)
Price Exceptions
Produces a report showing:
- What a stock item sold for
- Its list price
- Percentage variance from list price
- Profit or loss impact
This report can be generated for a specific date range and variance threshold.
Note: Sales Return reports are now available from the Other Actions menu on the Returns screen.
Custom Reports
Custom Reports provides access to user-created reports.
Reports can typically be opened in either:
- Preview mode
- Designer mode
depending on the selected option and user permissions.
Import and Export Notes
New customer records may be created automatically when importing customers or sales orders using:
- Export / Import from the Customer screen.
- Import / Export from the Sales Order screen.
- KCAutomate.
- KCImport.
- Web Services.
When customer information is imported, Khaos Control attempts to match incoming records against existing customer records.
Default Matching Criteria
By default, matching is based on:
- Postcode
- Surname
Additional Matching Fields
The following fields can also be used:
- Surname
- Postcode
- Town
- Address Line 1
- Company Code (URN)
- Forename
- Currency

Note: Trailing spaces are automatically removed from contact and address fields during import.
