System Data Courier Group Restrictions

Introduction

Courier Group Restrictions allow you to control which Courier Groups can be selected on manually created or edited Sales Orders. This helps ensure that customer service operators can only choose courier groups that are valid for a specific order based on predefined criteria.

These restrictions only apply to manually created or edited Sales Orders and do not apply to orders imported into Khaos Control.

Restrictions can be configured using one or more of the following criteria:

Selecting a Courier Group on a Sales Order

On a Sales Order, the Courier Group is selected from the Cour.Grp field located beneath the Courier field on the [ Sales Order | Additional ] screen.

Courier Group Restrictions Grid

The Courier Group Restrictions grid allows you to define when a Courier Group can or cannot be selected.

Courier Group

Choose the Courier Group that the restriction applies to.

Matching Criteria

Select the criteria that must be matched before the restriction is applied.

Company Class

Allows or prevents the Courier Group from being selected based on the Company Class assigned to the customer linked to the Sales Order.

Sales Source

Allows or prevents the Courier Group from being selected based on the Sales Source assigned to the Sales Order.

Brand

Allows or prevents the Courier Group from being selected based on the Brand assigned to the Sales Order.

Invoice Priority

Allows or prevents the Courier Group from being selected based on the Invoice Priority assigned to the Sales Order.

Country

Allows or prevents the Courier Group from being selected based on the delivery country on the Sales Order.

Zone

Enter a Zone value that matches an existing Zone defined in system data. The system compares this value against the delivery country on the Sales Order and applies the restriction when a matching zone is found.

Action Settings

Priority

Set a priority between 0 and 999999:
  • 0 is the highest priority.
  • 999999 is the lowest priority.
When multiple restrictions could apply, Khaos Control uses the highest priority rule.

Allow

Select Allow to make the Courier Group available for Sales Orders that match the selected criteria.

Disallow

Select Disallow to prevent the Courier Group from being selected for Sales Orders that match the selected criteria.
Important: A restriction line cannot be both Allow and Disallow.
If neither option is selected, the restriction line will not be applied.

Courier Group Restrictions Context Menu

Apply Value Range

Apply Value Range allows you to apply the same value to all currently selected rows within the active column.

Clear Selection

Removes the current selection from any highlighted rows.

What Happens When Restrictions Are Applied?

Invalid Courier Group Selection

If a user selects a Courier Group that is not allowed based on the Sales Order criteria, Khaos Control displays a warning message and resets the Courier Group field.

Sales Order Criteria Changed

If a valid Courier Group has already been selected and one of the matching criteria is later changed, the selected Courier Group may no longer meet the restriction rules.
When this happens:
  1. Khaos Control checks the updated Sales Order details.
  2. The Courier Group is revalidated against the configured restrictions.
  3. If the Courier Group is no longer valid, the system displays a warning message.
  4. The Courier Group selection is automatically cleared and must be replaced with a valid option.

Additional Information

Courier Group Restrictions are particularly useful when:
  • Different customer types require different delivery services.
  • Courier availability varies by country or geographical zone.
  • Certain brands require dedicated shipping methods.
  • Delivery options depend on the source of the order.
  • Specific invoice priorities require alternative courier services.
Using restrictions helps reduce selection errors and ensures the correct delivery options are available for each order.
