System Data Structured Sales Order Cancellation Reason

Introduction

Structured Cancellation Reasons help you record consistent and meaningful reasons when Sales Orders are cancelled.

Instead of relying solely on free-text notes, users must select a predefined cancellation reason from a list maintained within Khaos Control. This makes it easier to analyse cancellation trends and produce meaningful management reports.

Users can still enter additional free-text notes when cancelling an order.

Before this screen is available, Structured Cancellation Reasons must be enabled in [ System Values | Sales - Order Display | Structured Cancellation Reasons ].

Once enabled, you can produce reports showing the reasons for cancelled orders. For more information, see How To: View a Customer's Cancelled Sales Order.

Structured Cancellation Reasons Grid

The Structured Cancellation Reasons grid contains the list of predefined cancellation reasons available to users.

Reason

Enter the reason that can be selected when a Sales Order is cancelled.
  • Maximum length: 50 characters
  • This field is mandatory when using Structured Cancellation Reasons.
Examples might include:
  • Customer changed their mind
  • Ordered in error
  • Price not competitive
  • Delivery timescale too long

Require Supporting Note

Tick Require Supporting Note to make an additional explanation mandatory when this cancellation reason is selected.
When enabled, users must enter a supporting note before the Sales Order can be cancelled.
This is useful for reasons that require more context, such as:
  • Competitor pricing
  • Customer complaint
  • Product availability issues

Context Menu Options

Apply Value Range

Apply Value Range allows you to apply the same value to all currently selected rows within the active column.

Clear Selection

Removes the current selection from any highlighted rows.
