How To: Set Up Packaging

Before you can use the Packing stage in the Sales Invoice Manager, you need to configure packaging and courier settings within Khaos Control.
These settings allow the Packing stage to record which items have been packed into each box or package, helping to improve packing accuracy and shipping efficiency.

Before You Start

Complete the following setup tasks:
  1. Set a default packaging stock item. This is used when a stock item has not been linked to a specific packaging item.
  2. Link stock items that require dedicated packaging to their packaging materials. For example, maps or posters may need to be shipped in tubes.
  3. Link packaging items that require a specific courier to the appropriate courier. For example, pallets may need to be delivered using a courier with forklift facilities.

Use this setup when a product must always be packed using a specific packaging item.

Steps

  1. Open a System Data screen (show me how).
  2. Open [ Courier/Shipping | Link Stock/Packaging ] using the Link Stock/Packaging screen.
  3. Press Alt + E or click the Edit button to enter edit mode.
  4. Press F3 or click Add to create a new entry.
  5. Use the Stock Lookup window to find and select the stock item.
  6. In the Packaging column, press F4 and select the packaging item that should be used for that stock item.
    Important: The stock item must have a weight recorded on its stock record for packaging automation to work correctly.
  7. Set the Auto Pack Qty value if required:
    • 0 (default) - Any quantity of the stock item, along with other items, can be packed into the same package.
    • 1 - Only one of that stock item can be packed into a package.
    • 2 - Only two of that stock item can be packed into a package.
    • Higher values work in the same way.
  8. Press Ctrl + S or click Save.

Example

If posters must always be shipped in tubes, link the poster stock item to the tube packaging item. When the order reaches the Packing stage, the correct packaging can be selected automatically.

Use this setup when a packaging type should always be sent using a particular courier.

Steps

  1. Open a System Data screen (show me how).
  2. Open [ Courier/Shipping | Packaging Options ] using the Packaging Options screen.
  3. Press Alt + E or click the Edit button to enter edit mode.
  4. Press F3 or click Add to create a new entry.
  5. In the Packaging column, press F4 and select the packaging item.
  6. In the Courier column, press F4 and select the courier that should be used.
  7. Enter a value in the Capacity column to define the default weight of items that can be packed into that packaging type.
  8. Press Ctrl + S or click Save.

Example

If pallet shipments must always be collected by a dedicated pallet courier, link the pallet packaging item to that courier. This helps ensure the correct delivery method is selected during dispatch.

Additional Information

  • Packaging automation relies on stock weights being maintained correctly.
  • If a stock item is not linked to a specific packaging item, Khaos Control will use the default packaging stock item configured in System Values.
  • Packaging and courier links help streamline packing and reduce the risk of incorrect packaging or shipping selections.
  • These settings are used by the Sales Invoice Manager Packing stage when packing and preparing orders for dispatch.
