How To: Enter Payment Details on a Sales Order

Once the required items have been added to a Sales Order, payment details must be entered on the [ Sales Order | Payment ] tab.
The payment options available depend on your system configuration and the customer's account settings.
Available Payment Methods
The following payment methods can be used:
- #credit-cardCredit Card
- #accountAccount
- #cashCash
- #chequeCheque
- #voucherVoucher
- #statementStatement / Credit Notes
Before You Start
Default Payment Methods
When a new Sales Order is created, Khaos Control automatically selects the customer's default payment method based on their Customer Class.
If required, this can be changed by:
- Selecting the appropriate payment checkbox.
- Choosing an alternative option from the Payment Type dropdown.
Note: A pre-payment customer can be changed to an Account customer, but this must cover the entire value of the order. Any existing payments on the Sales Order will be removed.
Multiple Payment Methods
Customers can pay using more than one payment method.
To do this, add a separate payment line for each payment type being used.
Part Account Payments
The Remainder on A/C checkbox allows pre-payment customers to place the remaining balance of an order onto their account.

PayPal Payments
If you intend to accept PayPal payments, the integration must be configured beforehand.

Credit Card
Use this option when the customer is paying by credit or debit card.
Enter Credit Card Details
- Tick the Card checkbox if it is not already selected.
- Click New in the Payment by Credit Card area.
- When prompted, click Yes to create a new card.
- Enter the card number.
- Press Tab and enter the expiry date.
- Press Tab again and enter the security code (CV2).
Note: Once you leave the card number field, the number is masked for security reasons. Only the last four digits remain visible.
Helpful Tips
- A validation indicator displays a red cross if information is missing or incorrectly formatted.
- A green tick confirms the information entered is valid.
- If the cardholder uses a different billing address, double-click the Addr field and select an alternative address.

Important: The Take Full Payment option in [ System Values | Sales | Order Display | General ] affects how both authorised and pre-authorised card payments are processed.
Card Payment Processing Options
After entering the card details, you can choose one of the following methods:
- Save the Sales Order and authorise the payment later in [ Sales Invoice Manager | Authorise Payment ].
- Pre-authorise the card within the Sales Order and authorise it later.
- Fully authorise the card within the Sales Order.
The method you choose will depend on your company's payment procedures.
Tip: Website orders are often authorised before they are imported into Khaos Control.
Pre-Authorise a Credit Card
- Save the Sales Order.
- Select the Credit Card payment line in the payment grid.
- Right-click and select Pre-Auth Credit Card.
- The payment line changes to light green.
The payment is now awaiting final authorisation in [ Sales Invoice Manager | Authorise Payment ].
Authorise a Credit Card
- Save the Sales Order.
- Select the Credit Card payment line.
- Right-click and select Authorise Credit Card.
- The payment line changes to light blue.
The payment is now fully authorised.
Troubleshooting Card Authorisation
If communication with your card provider fails, Khaos Control displays an appropriate error message.

Manual Card Processing
If manual payment processing is enabled, you can manually record card authorisations.
Manual Pre-Authorisation
- Tick Manual Payments.
- Enter the payment amount.
- Select the Credit Card payment line.
- Right-click and select Manual Pre-Auth Credit Card.
- Click Yes to continue.
- Enter the authorisation code.
- Choose whether to save the order.
- The payment line changes to light green.
Manual Authorisation
- Tick Manual Payments.
- Enter the payment amount.
- Select the Credit Card payment line.
- Right-click and select Manual Authorise Credit Card.
- Enter the authorisation code.
- Choose whether to save the order.
- The payment line changes to light blue.
Account
For customers who trade on account:
- The Account checkbox is automatically selected when the Sales Order is created.
- No further payment information is required unless additional payment methods are being used.
For mixed payments, add additional payment lines as required.
Cash
To record a cash payment:
- Click Add above the payment grid.
- Press F4 in the Payment Type field.
- Select Cash.
- Confirm the amount matches the order total.
Note: If Manual Payments is enabled, the amount may need to be entered manually.
Cheque
To record a cheque payment:
- Click Add above the payment grid.
- Press F4 in the Payment Type field.
- Select Cheque.
- Confirm the amount is correct.
- Enter the cheque reference if required.
- Enter the sort code if required.
- Enter the account number if required.
Note: If a cheque reference is entered but the payment amount is £0.00, the Sales Order cannot be saved until a valid amount has been entered.
Voucher
Voucher functionality must be configured before use.
For assistance with voucher setup and processing, please contact the Khaos Control Training Team.
Important: If a customer is using a voucher alongside another payment type, the voucher payment line must appear before all other payment lines. Failure to do this may prevent voucher verification from working correctly.
Statement
The Stm't checkbox is used when applying:
- Credit Notes
- Existing customer payments
Any available Credit Notes are displayed in the Credit Note grid below the payment grid.
Existing payments are displayed within the Payment tab.
Use a Credit Note or Existing Payment
- Click Add above the payment grid.
- Select the required Credit Note or existing payment.
- Drag and drop it onto a payment line.
Khaos Control automatically applies either:
- The full value of the Credit Note or payment, or
- The remaining value of the Sales Order if this is lower.
Additional Information
- If only part of a Credit Note is used, the remaining balance cannot be used elsewhere until the Sales Invoice has been issued.
- Credit Notes are often used alongside other payment methods.
- Printed invoices display the payment type, reference number, creation date and value.
