Printable Reports Overview

The contents of grids in Khaos Control can be printed in the format configured by the user, see Print Grid. There are also predefined reports which are listed below some of which use the Print Grid option via the BtnPrint.jpg on the Button Bar.

Customer/Supplier

Other Actions Menu

For the Other Action Menu options (press F9 or the Other Actions Menu on the Button Bar) .

  1. Statement Run: loads the Statement Run Dialog box. This operation will print a statement report for any customer that has an outstanding balance. If 'Remittance Advice' option is ticked for any customer within the statement run, a remittance report will also be printed. There is also the option of printing a combined invoice report - you can use this report as a summary report to your customer or you can use it as an invoice document.
  2. Credit Summary: loads the 'Print Credit Summary' dialog box. It is possible to print a credit summary for a specific company or a company type. Note: the combined invoice report only shows credit notes that have been generated against the customer between the specified dates.
  3. Payment Reports:
    • Customer Payment Reports: prints the 'Customer Payment Summary' report. This report displays all of the payments that have been entered against all customers since the report was last "reset". The report is used to summarise payments that have been entered to aid in the banking of payments, etc. After the report has been printed the system will ask you if the report should be "reset", thereby clearing the report ready for the next batch of payments.
    • Supplier Payment Reports: prints the 'Supplier Payment Summary' report. This report displays all of the payments that have been entered against all suppliers since the report was last "reset". The report is used to summarise payments that have been entered to aid in the banking of payments, etc. After the report has been printed the system will ask you if the report should be "reset", thereby clearing the report ready for the next batch of payments.
  4. Customer Sales Info:
    • Customer Sales Info (by URN): prints the 'Company Listing Report' ordered by Customer URN.
    • Company Sales Info (by Sales Source): prints the 'Company Listing Report' separated by Sales Source.
    • Company Sales Info (by Date Created): prints the 'Company Listing Report' ordered by date created.
  5. Company List: prints the 'Company Listing Report' for all company addresses and contacts.
    Note: this requires HQ level or Admin level permission.
  6. Complaint Summary: prints the 'Complaint Summary' report for the previous 12 month period from the selected date range. It lists all complaints entered in the [ Customer | Detail | CRM | Comments/Complaints ] screen. The complaints are grouped by stock type, see How To: Print a Complaint Summary Report.
  7. Custom Reports: generate Custom Reports based on report templates for selected customer(s).
    • Print Preview: loads the 'Khaos Control Report Explorer' dialog box. From here the user can select a boilerplate letter to preview and print.
    • Report Designer: loads the 'Report Designer' dialog box. From here the user can customise their boilerplate letters (requires administrator-level permission).

Customers and Suppliers

  • Customer and Supplier List screen prints a Company Listing.
  • Communication Log screen prints out the entries in the Communication Log.
  • Tasks screen prints out the list of tasks.
  • Comments/Complaints screen prints a list of customer and supplier comments and complaints for the current customer or all customers for the date range selected.

Other Actions Menu

For the Other Action Menu options (press F9 or the Other Actions Menu on the Button Bar) .

  • Back Order Picking Note: The user must be in an open Purchase Order. The system will generate a back order picking note for all Sales Order Invoices that will be fulfilled by the delivery of that Purchase Order.

Sales Orders

For the Other Action Menu options (press F9 or the Other Actions Menu on the Button Bar) .

From the Print option:

  • Sales Order Acknowledgement: prints a sales acknowledgement for the sales order.
    • Format A " With Prices
    • Format A " Without Prices
    • Format B " With Prices
    • Format B " Without Prices (Delivery Note): prints a delivery note for the sales order.
  • Price Exceptions: creates a report based on a date range and price variance which displays a printable report showing what a specific stock item sold for, its original List price, the percentage difference based on the list price and loss/gain figure.

  • From the [ Sales Order | List ] screen prints the Sales Order List, a report showing all sales orders in the grid, or just those green-selected, with the column headings as per the grid.
  • A Delivery Note is displayed when the BtnPrint.jpg button is pressed when the user is in a loaded [ Sales Order ].

Sales Invoice Manager

The BtnPrint.jpg button on the Button Bar has the same options as thethe 'Order Stage Reports' button is found towards the top left of the Sales Invoice manager screen. button in the Staged Processing screen. This enables the user to print any order stage report for an order regardless of its location within the Orders section of the stages pane. A limited number of Order Stage Reports are available for orders within the Issued stages. The following reports can be printed, for a detailed explanation see Order Stages Reports:

  • Reports to Customers
    • Invoice (Single) (F8): generates an invoice for the order the user is currently focused on in the grid and performs the same action as the Print Invoices (Single) button in the Invoicing stage. Users can also press F8.
    • Invoices (Batch): generates invoices for the all order that are selected by the user in the grid and performs the same action as the Print Invoices (Batch) button in the Invoicing stage.
    • Delivery Note (Batch) (F7): generates a delivery note for the all order that are selected by the user in the grid listing the stock and its quantity of the customer's order that can be delivered.
    • Reorder Sheet: generates a report of all stock items a customer has orders on sales orders that were created within the last 60 days and is generally used to inform the customer of their recent purchases and is added to the order for information.
  • Picking Report:
    • Pick Ticket (Single): generates a single pick ticket for the order the user is currently focused on in the grid and performs the same action as the Print Pick Ticket (Single) button in the Picking stage.
    • Pick Ticket (Batch): generates a batch of pick ticket for the order the user has currently selected in the grid and performs the same action as the Print Pick Ticket (Batch) button in the Picking stage.
    • Pick Sheet Combined: generates a combined pick ticket for the order the user has currently selected in the grid and performs the same action as the Print Sheet (Combined) button in the Picking stage.
  • Process Management Reports
    • Unissued Orders and their Stages: generates a report of all unissued order within the Orders and Future stages. The options for the report are:
      • Group by Date: group and total sequentially by the delivery date.
      • View by Delivery Date: lists the results sequentially by delivery date with a total for all orders on the last page.
    • Stock Requirements for Stage: generates a report containing all stock items not in stock and required to fully fulfil all the orders in the stage the user if currently focused in the Stages pane. This report will only work if there are orders that are not fully fulfilled in that stage. If all orders are fulfilled then the report will not be populated.
    • Fulfilment Report (how available stock could be used): generates a report for all unissued orders within the Orders and Future stages.

Additional Reports per Sales Invoice Manager Stage

  • PDF Invoices: can be printed using the PDF Invoices (Batch) button in the Invoicing stage for all selected invoices and deposit them in the ?:\KeystoneSoftware\Report directory so that they can be archived or attached to emails at a later date.
  • Packing Report: a packing report displaying the contents of each packed box is available from the Packing Report button in the Packing stage.
  • Shipping Report: a shipping report listing all orders that have been shipped is available from the Shipping Report button in the Shipping stage.

Back Order (Stock Assignment)

The following reports are available from the [ Sales Invoice | Back Order (Stock Assignment) ] grid context menu:

  • Print Outstanding (All): the general Outstanding Items report that can be printed and sent to customers to advise them of their back ordered items. This option prints the report for all items.
  • Print Outstanding (Selected Customer): customer specific Outstanding Items report that can be printed for individual customers. The report will be printed for the customer that is relevant to the item that the user right-clicks on.

Repeat Orders

  • Call List screen creates the Call Sheet Report listing the customer UR%N and name, phone number and time to contact them.
  • Call List Setup Tab loads the Print Grid dialog allowing the user to print the contents of the grid.
  • Delivery Rounds Tab creates the Delivery Rounds Sheet listing; the Customer's name, Invoice number, number of boxes, value of the order and payment type. There are also boxes for the driver to complete when he receives payment from customers.

The Show delivery round summary button displays a table summarizing the value of each delivery round.

Customer Returns

For the Other Action Menu options (press F9 or the Other Actions Menu on the Button Bar) .

  • Print:
    • Sales Returns: prints a date based returns report by return reason, see How To: Report on Returns.
    • Returns Analysis: generates a report based on a specified date range and by current site of all sites that displays all stock items that have been returned with their total sales figure for the specified date range, the number of returns over the same specified date range and the percentage of the top return reason, see How To: Report on Returns.

Grid Context Menu

  • Stock Value Report...: prints a stock value report for each item, classified by stock type. Reports on either 'All Stock' or 'Just Items in Stock' and can include Overhead figures, Cost of Sale excluded items and System Warehouse locations (i.e. Quarantine, Return and Return Bay), see How To: Create a Stock Value Report.
  • Stock Type Value Report...: prints a stock value report for all stock type by stock types. Reports on either 'All Stock' or 'Just Items in Stock', see How To: Create a Stock Value Report.
  • Stock Listing...: prints a basic stock listing report of every stock item sorted and grouped by it's Stock Type. The report also includes the current buy and sell price and current margin based on those figures.
  • Stock Inventory by Supplier...: prints a report for selected or all stock item (if none are selected) categorised by their supplier.
    Note - Stock items can be displayed twice if more than one supplier can supply that item.
  • Stock Replenishment...: prints a stock replenishment report. This report requires a date range to be specified and basically displays the quantity of stock has been sold within the defined period and the current available stock level. A specific site can be selected for the report.
  • Stock Labels...: prints stock labels for selected stock items. If barcodes are displayed they can be either generated from the stock code or other reference field, this in controlled by the label template you use.
    Note - If no items are selected then the system will generate labels for all items displayed within the grid, this is affected by active filters.
  • Stock Labels (Basic reports)...: prints stock labels for selected stock items using the Basic Reports options for labels.
  • Stock Bar Code Book: prints a report of selected stock only based on either the stock code, other reference or the barcode list including short description and image, see How To: Print a Stock Bar Code Book.

System Data

In any of the loaded screens in System Data the BtnPrint.jpg button will load the Print Grid dialog to create a report of the grid contents. This is useful when setting up and configuring the system.

Grid Context Menu

  • Print Transaction Detail report is available from the following grids in the Trial Balance screen:
    • Trial Balance grid on the left.
    • The Open Detail grid on the right from the Report option.
  • The Print Journal Report is available from the Report option in the Open Detail grid on the right in the Trial Balance screen.
  • A Payment Remittance can be created from the SP Ledger screen and is also available in the [ Customer/Supplier | Statement ] screen.
  • Statements are available from the context menu in the Debtors/Creditors screen.
  • Detailed Report (includes invoices) creates a DC report that will also include the invoice details with each DC entry, see How To: Print a Detailed Debtors or Creditors Report. If the grid is being filtered by a Customer Classification then it will be displayed on the header of the report in square brackets. The Creditor report will sort entries by the following fields:
    1. Company
    2. Invoice Code
    3. Date

Reports from other areas

Sales Summary

Sales Summary allows the user to report on Best Sellers, Customers, Invoices, Payments, Sales Source, Commissions, Agents, Keycodes, Catalogues, Monthly Sales and Suppliers. Filters can be used to configure the reports to your requirements for example reporting by Stock Types or stock items, non-buyers, buyers in specific postcodes, supplier performance. Report layouts can be saved and loaded in the the future.

There are two options available depending on the screen that you are in

  • Print Report (if any) uses the Print Grid option with an appropriate title which can be changed.
  • The Print Grid option also uses the Print Grid option but the title will be Grid Print followed by the date.
